Information we collect
Depending on how you contact or work with us, we may collect:
- your name, email address and telephone number;
- the service you are interested in;
- details included in your enquiry, quotation request or support request;
- correspondence, appointment and project information;
- customer, quotation, invoice and payment records where work proceeds; and
- technical request and security information, such as an IP address, that may be processed when you use the website.
We normally obtain this information directly from you. Please avoid including sensitive personal information in the enquiry form unless it is necessary.
Why we use your information
We use personal information to:
- respond to enquiries and discuss your requirements;
- prepare quotations and arrange requested work;
- provide services, support and project updates;
- manage customer records, invoices and payments;
- maintain the security and reliability of the website and enquiry service; and
- meet our legal, accounting and tax obligations or establish and defend legal claims.
We do not use information submitted through the contact form for unrelated marketing without a separate lawful basis.
Our lawful bases
Under UK data protection law, our lawful bases are:
- Contract: where using the information is necessary to take steps you request before entering into a contract, such as preparing a quotation, or to provide agreed services.
- Legitimate interests: where necessary to respond to business enquiries, maintain appropriate records, protect our website and services, and manage or defend legal claims, provided those interests are not overridden by your rights.
- Legal obligation: where records must be used or retained to comply with tax, accounting or other legal requirements.
Who receives your information
The website does not store contact-form submissions in a customer database. Form information is transmitted through:
- Cloudflare, which hosts and protects the website and runs the contact-form function;
- Resend, which transmits the form submission as an email; and
- Microsoft 365, where the enquiry is received and retained in the Intralink Tech mailbox.
Information may also be shared with professional advisers, insurers, service providers, regulators or law-enforcement bodies where reasonably necessary and lawful. If a supplier or subcontractor needs information to help deliver requested work, we only share what is necessary. We do not sell personal information.
International processing
Some technology providers may process information outside the UK. Where this happens, we rely on the provider's data-protection arrangements and safeguards recognised under UK law, such as an adequacy regulation or appropriate contractual safeguards, where required.
How long we keep information
- Enquiries that do not become customer work are kept for up to 12 months after the last contact.
- Customer, project and financial records may be kept for up to six years after the work or customer relationship ends, where needed for contractual, accounting, tax or legal purposes.
Information is deleted or securely disposed of when it is no longer required.
How we protect information
We use proportionate technical and organisational measures to protect personal information, including controlled access to business systems and reputable website and email service providers. No internet or email system can be guaranteed to be completely secure.
Your data protection rights
Depending on the circumstances, you may have the right to:
- ask for a copy of your personal information;
- ask us to correct inaccurate or incomplete information;
- ask us to delete or restrict the use of your information;
- object to processing based on legitimate interests; and
- receive or transfer information you provided where data portability applies.
These rights are not absolute and may depend on the lawful basis and circumstances. To make a request, email info@intralinktech.co.uk. We do not use personal information for solely automated decisions that have legal or similarly significant effects.
Cookies and website data
This website does not intentionally use advertising or analytics cookies. Our hosting and security provider may process essential technical request information needed to deliver and protect the website. If non-essential cookies or analytics are introduced, this notice will be updated and consent will be requested where required.
How to complain
Please contact us first if you have concerns about how your information has been used. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator. Visit the ICO complaints page for current contact options.
